Full Job Description
Role purpose:
Reporting to the Study Engineering Manager, your duties will include:

  • Ensure conformance with Vodafone Group Policies, Guidelines, Code of Conduct, and relevant statutory obligations
  • A strong commitment to health, safety, environment, sustainability, and community
  • Manage controlled documents for the duration of lifecycle
  • Process and manage document control requests
  • Manage company and third-party documents and records
  • Manage library artefacts and archives
  • Manage Statutory documentation
  • Ensure process compliance and provide resolution as required
  • Lead document control system upgrades or new implementations as required
  • Provide relevant training for key internal and external stakeholders as required
  • Ensure strict adherence to the defined Standards & Change Control.
  • Screen new & reviewed Controlled Documents for compliance and quality, e.g., structure, formatting, language, and grammar.
  • Run document control reports to identify up and coming, and overdue deliverables and follow-up with individuals to ensure deliverables are developed timely
  • Create (not author) new Controlled Documents on request.
  • Audit and drive controlled document review process.
  • Assist with retrieval & creation of technical documents
  • Develop and maintain reviewer and approver matrix
  • Liaise and build rapport with client Document Controllers and exceed their service expectations
  • Co-administrate the Change Management process and track progress and compliance.
  • Review and update reports for grammar, spelling and formatting.
Core competencies, knowledge, and experience:
  • 5+ years of experience in project information management and document control, in engineering studies and major projects delivery, in the natural resources environment, preferably mining
  • Proven experience with document and records management, preferably within an EPCM environment serving major mining clients
  • Ability to implement, manage and support any required document control systems and processes
  • Ability to establish and maintain standards and discipline in the collation, processing and reporting of project information and documentation
  • Advanced MS office suite software and Adobe Pro
  • Comprehensive working knowledge of SAP and ACONEX is essential
