About the role:

The Program Support Officer – Book Groups provides primary support to the Book Groups program within Short Courses and works with the Short Course Operations team to ensure the successful day-to-day administration and customer service for the program. The role of Program Support Officer – Book Groups underpins the successful delivery of Book Groups and Short Courses by ensuring the timely and accurate provision of client-centric services and provides customer service and administrative support.

The Program Support Officer – Book Groups is a member of the Book Groups unit in Short Course Operations. This position is responsible for working professionally with employees at all levels across the Box Hill Institute and liaising with relevant external stakeholders, including Book Group members, contractors, suppliers and collaboration partners.

Your skills and experience

- A degree or diploma qualification in administration or related field and/or relevant work experience in administration and customer service.

- Administration Support: Strong administration experience and ability to work independently in a service oriented environment, including exceptional attention to detail, excellent prioritisation and organisation skills, experience with database maintenance, Microsoft Office applications, computer skills and the ability to resolve daily operational issues.

- Computer Skills: Ability to use both common and job-specific software applications and features proficiently for a variety of work tasks and the ability to troubleshoot common software issues.

- Stakeholder Management: Ability to responds to clients’ needs and keeps the client or stakeholder up-to-date with issues and developments. Promptly follows through on stakeholder inquiries, requests and complaints. Proactive approach to taking responsibility for correcting problems promptly and without becoming defensive.

- Organisation and Planning: Well developed skills in taking organised and methodical approach to work, addressing priority tasks first. Regularly plans and tracks progress on work tasks, and follows through on short and long-term projects as required. Ability to prioritise tasks, especially when managing competing demands.

- Systems and Process Thinking: A strong understanding in the specific short-term implications of a particular course of action. Ability to understand how individual jobs impact the work area’s service delivery. Experience in seeking information about relevant systems necessary to solve work problems.

- Customer Service & Communication: Ability to listen and respond to clients and customers through phone and email correspondence, with attention to spelling and grammar. Seeks ways to continuously improve services and is committed to delivering high quality outcomes for clients and customers. Able to clearly explain information and listen to feedback, using a polite and considerate manner.

- Knowledge of Books and Reading: A keen reader with a love of books. Able to discuss books with staff, customers and industry contacts.

- Relationship Building: Establishes and maintains useful relationships with people at all levels across business areas, functions and organisations. Promotes harmony and consensus through diplomatic handling of disagreements. Builds trust through consistent actions, values and communication, and minimising surprises

You will need to provide or be willing to obtain a current National Police Records Check, a Working with Children Check, evidence of your entitlement to work in Australia, and certified copies of your qualifications.
