About the Company:

Due to the significant growth our client is experiencing they are seeking an Administration and Events Coordinator.

About the Role:

The Administration and Events Coordinator is the point of contact between the executives and internal/external clients. The role will primarily be responsible for providing internal administration and secretarial support to the office of Executive Directors, other tenants in the building and other key departments.The Administration and Events Coordinator will also be responsible for operational and administration activities across the internal departments ranging; IT, Marketing, coordinating functions/meetings, Compliance duties and building/property management.

Duties:

  • Liaising with external providers and suppliers; stationery, IT, facilities for proactive practice management
  • Provide secretarial support
  • Responding to telephone client enquiries, tending to reception
  • Supervising junior administration staff
  • Maintaining files/ records for assigned areas, stationary cupboard, photocopier, and other office equipment
  • Conducting research and sourcing information as requested
  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately including mail handling
  • Maintain email diary, arrange meetings and appointments, and provide reminders
  • Make travel arrangements, as requested
  • Maintain boardroom and other areas
  • Prepare the board room for meeting, organise catering, maintain kitchen, car parking within the building, mail distribution
  • Maintain fire warden training and meetings, fire drills
  • Maintain building security systems and swipe card management.
  • Take dictation and minutes and accurately enter data
  • Monitor office supplies and catering services and research advantageous deals or suppliers
  • Produce reports, presentations, and briefs
  • Develop and carry out an efficient documentation and filing system
  • Manage the operational and logistical delivery of events from start to finish according to requirements, target audience and objectives.
  • Come up with suggestions to enhance the event's success.
  • Prepare budgets and ensure adherence.
  • Source and negotiate with vendors and suppliers.
  • Be in charge of hiring personnel (IT, caterers, hire companies, venues etc.)
  • Coordinate all operations of the event
  • Lead promotional activities for the event.
  • Supervise all staff/Volunteers (event coordinators, caterers etc.)
  • Approve all aspects before the day of the event.
  • Ensure event is completed smoothly and step up to resolve any problems that might occur.
  • Analyse the event's success and prepare reports.

Skills & Experience:

  • 3+ years administration and events experience preferably in a medical environment
  • Excellent communication skills, verbal and written
  • Strong organisational skills
  • Experience supporting volume recruitment projects
  • Relationship Building
