The Parliamentary Counsel’s Office (PCO) is headed by the Parliamentary Counsel and is a Public Service executive agency related to the Department of Premier and Cabinet under the Government Sector Employment Act 2013. The PCO provides a comprehensive and integrated range of high-quality services for the drafting of, and access to, NSW legislation and the giving of advice and information about legislation.

This role is for you if you

  • Are able to provide courteous, prompt and professional service to the PCO staff and inquiries.

  • Manage competing work demands and varying workloads to remain productive and ensure work is completed.

  • Work co-operatively with other team members to manage a variety of tasks.

Key accountabilities

  • Receive, acknowledge and distribute incoming communications to the PCO, including telephone calls, emails, mail and deliveries, and receive visitors in a professional and courteous manner.
  • Provide consistent, high quality customer service as a person of first contact for the PCO including telephone, email enquires and personal contact with internal and external staff and visitors.
  • Analyse and coordinate all correspondence (including, incoming and outgoing mail, briefings, telephone calls, diary appointments and emails as appropriate) for action, utilizing appropriate tracking systems and deadlines to ensure matters in the PCO are dealt with having regard to importance, priority and urgency.
  • Provide secretarial and administrative support services for senior officers, including typing and formatting documents, copying, distributing and filing publications and other documents and providing refreshments for visitors.
  • Maintain records for tracking work flow, including updating LEGIS (the Office’s document management and workflow software).
  • Provide general administrative support to the office including arranging meetings and conferences, assisting with purchasing and document delivery, invoicing and providing publication support and delivery of legislation as part of a small support team on parliamentary sitting nights.
  • Assist with the People & Culture function of the PCO, including organising orientation packs and general onboarding and offboarding of PCO staff.
  • Assist with the Finance function of the PCO, including accounts payable/receivable, reporting and providing support to the Finance team.
  • Assist in the preparation and publishing of legislation being drafted by senior officers using customised software, including converting data, and proofreading draft legislation to ensure the highest possible levels of accuracy.
